How to change your support coordinator.

You can change your NDIS support coordinator at any time, without giving a reason and without anyone's permission. Check the notice period in your service agreement, line up the new coordinator before you give notice so there is no gap in your supports, send written notice, and ask for your records to be handed over. It costs you nothing — the funding stays the same regardless of who provides the service.

Five steps to switch without a gap

  1. Check your service agreement. Look for the notice period — often two to four weeks — and how notice must be given. You do not need a reason, and you do not need your current provider's permission.
  2. Find the new coordinator first. Line up who is taking over before you give notice, so there is no gap. A good incoming coordinator will start the handover conversation straight away.
  3. Give written notice. A short email is enough: that you are ending the agreement, the date, and that you would like your records provided to your new coordinator.
  4. Ask for the handover. Request your plan documents, provider contacts, service agreements, current bookings and any reports. You are entitled to your own information.
  5. Update the service bookings. Your new coordinator claims against the same coordination funding. Make sure the old provider stops claiming from the end date, and check your portal or plan manager statements after a fortnight.

What to ask the incoming coordinator

  • Who exactly will be working with me, and how do I reach them?
  • How quickly can you start, and will you handle the handover?
  • How many participants does each coordinator carry?
  • How do you track my funding, and when will you warn me it is running low?
  • What happens when something goes wrong outside business hours?

Signs it is time to move

  • Calls and emails go unanswered for weeks
  • Nothing has actually been set up since your plan started
  • You find out your funding is gone rather than being warned
  • Reports are late or never written
  • You are handed between staff and have to explain your situation again each time
  • You are pushed towards providers connected to your coordinator without alternatives

Questions about switching

Can I change my NDIS support coordinator?

Yes, at any time and without giving a reason. Choice and control sit with you. Check the notice period in your service agreement, line up the new coordinator before you give notice so there is no gap, then send written notice and ask for your records to be handed over.

Do I need permission to change coordinators?

No. You do not need permission from your current provider, from the NDIA or from anyone else. You only need to honour the notice period in the agreement you signed.

Will changing coordinators cost me anything?

No. Coordination is claimed from the same Capacity Building funding regardless of who provides it. There is no exit fee, and any hours already claimed simply remain claimed.

What if I have a bad experience and want to complain?

You can raise a complaint with the provider directly, and you can always go to the NDIS Quality and Safeguards Commission, which handles complaints about any NDIS provider — registered or not.

How quickly can a new coordinator start?

Usually within days once the referral is in. We answer referrals within two business days and can normally meet within a week, and we handle the handover so you are not the go-between.
